1. Introduction to Terms and Conditions

Surmount Adventures (“we”, “our”, “us”) organizes trekking, climbing, and adventure travel experiences across the Sahyadris, the Himalayas, and other regions. By accessing our website, booking a trek, or participating in any of our programs, you confirm that you have read, understood, and agreed to these Terms & Conditions. A legally binding agreement is formed once full payment is received and a Confirmation Invoice is issued.

2. Eligibility and Responsibility
  • Participants must meet the minimum age, fitness, and eligibility requirements specified for each trek.
  • It is the participant’s responsibility to assess their physical and mental fitness before booking.
  • For group bookings, the primary booker is responsible for ensuring all participants understand and accept these terms.
  • Participants must follow instructions provided by trek leaders, guides, and support staff at all times.
  • Failure to comply may result in removal from the trek without refund.
3. Booking and Payment
  • All bookings are confirmed only after full payment, unless otherwise specified.
  • In certain cases, partial payments may be accepted with a clearly communicated deadline for the balance amount.
  • Failure to complete payment within the stipulated time may lead to automatic cancellation without refund.
  • Prices are subject to change until full payment is received and may vary based on availability, transportation, or accommodation costs.
  • Payments are securely processed via authorized gateways such as Razorpay.
4. Cancellation Policy

Himalayan Treks

For Himalayan treks booked from Pune, Mumbai, Vadodara, Bangalore, or Delhi, Surmount Adventures may assist with train reservations, hotel bookings, and trek management where applicable.

The booking amount is 25%–30% of the total trek cost and is non-refundable under all circumstances.

Transfers to another trek/person may be allowed only at Surmount’s discretion and subject to availability and price difference.

Cancellation Charges

Refunds (if applicable) will be calculated separately for train charges, hotel bookings, and trek fees as per the timeline below:

Important Notes

  • Train refunds are governed strictly by Indian Railways rules, not Surmount Adventures.
  • Trek fee refunds apply only to the trek portion, excluding booking amount and third-party services.
  • Transfers to another trek/person may be allowed only at Surmount’s discretion and subject to availability and price difference.

Sahyadri Treks – Cancellation Policy

Booking Details

  • Booking amount: 40% of total trek cost
  • Booking amount is mandatory and non-refundable
  • Applicable to bookings made via website or any other channel

Refund Rules

  • Cancellations more than 24 hours before trek start:

Remaining amount (excluding booking amount) may be refunded after deductions, if applicable

  • Cancellations within 24 hours of trek start or No Show:

No refund will be provided

Cancellation by Surmount Adventures

If Surmount Adventures cancels a trek due to weather conditions, safety concerns, insufficient participants, or other unforeseen circumstances, participants will be offered either:

  • A full refund, or
  • The option to reschedule to a future trek.
5. Changes and Rescheduling
  • Requests for changes or rescheduling must be emailed to bookings@surmountadventures.com.
  • All changes are subject to availability and may involve additional charges.
  • Itineraries may be modified due to weather conditions, safety concerns, landslides, strikes, or other unforeseen circumstances.
  • Any additional costs resulting from such changes shall be borne by the participant.
6. Health, Fitness, and Medical Conditions
  • Participants must disclose all medical, physical, or psychological conditions at the time of booking.
  • Surmount Adventures reserves the right to deny participation if a condition poses a safety risk.
  • Smoking, alcohol, or substance use during treks is strictly prohibited.
  • Surmount Adventures does not provide travel or medical insurance; participants are strongly advised to arrange their own coverage.
7. Risk Acknowledgement

Participants acknowledge that adventure activities involve inherent risks, including but not limited to:

  • Physical exertion and fatigue
  • Unpredictable weather conditions
  • Rough and uneven terrain
  • Slips, falls, wildlife encounters, or equipment failure

By participating, you voluntarily assume all risks, including the possibility of serious injury or death.

8. Code of Conduct

Participants are expected to:

  • Respect nature, local communities, guides, and fellow trekkers
  • Follow Leave No Trace principles
  • Refrain from discriminatory, aggressive, or disruptive behavior
  • Alcohol consumption & smoking is strictly prohibited
  • Surmount Adventures reserves the right to remove any participant violating these standards without refund.
9. Equipment & Participant Responsibility
  • Participants are responsible for carrying appropriate gear as advised.
  • Surmount Adventures is not responsible for loss or damage to personal belongings.
  • Any rented or borrowed equipment must be used responsibly and returned in good condition.
  • No refunds will be provided for unused services such as accommodation, meals, or transport.
10. Photography and Media

Surmount Adventures may capture photographs or videos during treks for promotional, training, or documentation purposes. By participating, you grant permission for such use unless you inform us in writing prior to the trek.

11. Liability & Force Majeure

Surmount Adventures is not liable for delays, changes, cancellations, or additional costs arising from events beyond its control, including natural disasters, government regulations, pandemics, strikes, or emergencies.

Participants agree to release and indemnify Surmount Adventures, its staff, and partners from any claims arising from participation.

12. Policy Modifications

Surmount Adventures reserves the right to update or modify these Terms & Conditions at any time. Changes will be published on our website and will apply to future bookings.
